GatherLive Configuration

Initial Setup

  1. Launch GatherLive on a configured workstation.
  2. Create the event database.
  3. Enter:
    • Event name
    • Event dates
    • Venue information
    • Additional event details as required
  4. Sign in using approved administrative credentials.
  5. Assign the workstation location as:
    • Speaker Ready Room

Branding and Media Assets

Navigate to Settings → Upload Media.

Upload Required Assets

  • ☐ Event banner graphics
  • ☐ Event background graphics
  • ☐ Walk-in loop PowerPoint
  • ☐ Additional event branding assets

Schedule Import

Navigate to Settings → Schedule Sync.

GatherOnline Import

  1. Select GatherOnline.
  2. Enter approved GatherOnline credentials.
  3. Select the correct conference.
  4. Import:
    • Schedule data
    • Presentation assignments
    • Associated content

Spreadsheet Import

  1. Select Spreadsheet Import.
  2. Choose the approved schedule file.
  3. Import schedule information.
  4. Validate imported sessions and room assignments.

Validation

  • ☐ All sessions imported.
  • ☐ Room assignments correct.
  • ☐ Presentation records present.
  • ☐ No import errors displayed.

User Management

Navigate to User Management.

Administrative Tasks

  • Create administrator accounts.
  • Create support technician accounts.
  • Update service account credentials as required.
  • Remove unused accounts.

Follow organizational password management and security policies when assigning credentials.

Room and Device Assignment

As systems are connected to the event network and GatherLive is launched:

Checklist

  • ☐ Assign each workstation to a room.
  • ☐ Apply a descriptive device name.
  • ☐ Validate room connectivity.
  • ☐ Configure content isolation settings.
  • ☐ Verify upload station access.

Content isolation should remain enabled by default for non-upload stations unless event requirements dictate otherwise.

Operational Verification

Before presenter uploads begin, confirm:

  • ☐ Network infrastructure operational.
  • ☐ Server cluster healthy.
  • ☐ Event database initialized.
  • ☐ Branding assets uploaded.
  • ☐ Schedule imported successfully.
  • ☐ Upload stations functional.
  • ☐ Presentation rooms assigned.
  • ☐ Test presentation successfully distributed.
